In the following section, you can download the templates to produce official Cars & Coffee graphic and set up materials.
Each template includes instructions and guidelines to personalize your item in proper C&C style. Please note: If you are not familiar with graphic design assets, you may want to resort to a graphic designer or typographer to produce some of the items included in the section.
The following, is an illustrated guideline to help you provide us with the right information to include in your Official Event Program.
We will take care of the graphic set up of your Program which you’ll receive in .pdf format to share among your event participants.

Follow these referenced instructions, and provide us with the necessary info to include in each area of your Event Program.
As you will find, the Program will also include promotional pictures. Please, provide us with enough pictures of your past events to fill in the number of designated areas of destination.
In case this is your first event, we will choose some C&C representative pics to include in your first Event Program.
All provided pictures should well represent the spirit of your events, and should match the following requirements:
- High quality
- No invasive tagging or copyright signatures
- Adjustable to the shape of designated areas of destination
Note: these rules are to be applied all across the template, unless otherwise stated.
The Official Event Program is available in two versions: monolingual (English) and bilingual (English and your national language).
If you wish to have a bilingual Event Program, you are expected to provide us with the full translation of the whole text of the Program, that is, both default text contents and personalized text contents.

COVER
To create the cover of your Official Event Program, provide us the following information:
- Name of the City: this is where your event will take place. Please, enter the city hosting the event (not the region, area or country.) In case your event moves across more than one city, enter the city where the event begins.
- Date: this is the date of your event. In case your event covers more than one day, please enter the starting day of event.
OUR PARTNERS
Provide us with the logos from all your event partners/sponsors to include in the program.
Please, specify whether any of your partners/sponsors DO NOT wish to appear in the program.
All provided images must be official and authorized reproductions of your partner’s logo.
The logos do not need to have a specific format, provided it has good graphic quality.
Make sure you are in possession of all logos before sending out your request for an Official Event Program.
ABOUT CARS & COFFEE
This is a default text to introduce the reader to Cars & Coffee, and is not subject to variations.
THE EVENT
This is an event summary, where you explain what your event is all about. You want to give your guests an idea of what to expect from your Cars & Coffee, without – of course - giving too much away.
Here is some advice for an effective event summary:
- Specify the event date.
- Describe your event program in chronological order.
- You don’t have to provide exact times, but at least a “morning” / ”afternoon” reference.
- If your event includes different locations or sections throughout the day, dedicate one paragraph to each location/section, giving a brief overview of all planned activities offered to participants.
- Specify whether your event includes a driving session.
- Indicate all the venues involved in the event – unless you expressly want to keep it a surprise for the participants.
- Include a reference to car quantity and quality.
- You are free to mention your event partners, especially if they contribute to the event contents.
- Be yourself, and add a personal and local touch to your event program that your guests can relate to and be looking forward to.
- Make sure you deliver your Cars & Coffee enthusiasm to your audience!
THE PROGRAM
This section contains the timetable of your event and must be structured as follow:
- Hour a.m./p.m. – main activity, e.g. arrival, aperitif, lunch, end of event etc.
Tips: in the timetable, you should only include core event activities which none of your guests would want to miss. Among these: event beginning (meeting), meals and refreshments, contests and other entertainments, transfers (driving) and event end.
WHAT WE OFFER
These frames include your event offer per each guest category (Driver and Co-Driver). In the offer, you should specify:
- Price per single Driver and vehicle / Co-Driver, in your country currency (VAT included).
- Item and services included in the participation fee (e.g. exclusive access, exposition spot, lunch, refreshment, coffee, etc...).
Note: in case your event is a free event, the fee amount will be removed from this section of the program, however, you are still expected to provide the offer list to include here.
EXTRA SERVICES (optional)
You might want to provide your guests with a suggestion for an accommodation in the proximities of your event venue. Use this section of the Program to give a brief overview of your recommended hospitality service (hotel, vacation house, villa, etc...).
To create this page, provide us the following information:
- Picture: include a picture of your selected service.
- Hotel information including the category (4*, 5*, etc...), the full address and the website address if available.
APPLICATIONS
This section includes C&C standard instructions for event applications.
Provide us with the following info to include in the text:
- Your chosen deadline for applications.
- Alternative/additional methods of payment (if provided).
- Additional participation requirements (if applied).
CONTACTS
This section provides standardized contact info.
Provide us with the following info to include in the text:
- Your email address.
Please note: use of your official @cars.coffee email address is highly raccomended. Make sure your @cars.coffee address is working smoothly. Here you can find a quick start guide to set up your Cars & Coffee e-mail account on your devices. If you have issues with your @cars.coffee address, or haven't been assigned one yet, please contact our team department for assistance.
- To maximise operativity and customer care, we suggest you include your phone number in the Event Program (this info is not mandatory).
INSTRUCTIONS
- Make sure to have installed the required fonts on your computer. All fonts appearing in this document are available here.
- Open the layer palette (Windows > Layers)
- Select your chosen logo from the “front” layer (click on the first column to show the "eye" symbol).
- Enter the name of the city hosting the event by double clicking on [Name of the City].
- Enter the event date by double clicking on [ddth Month 2018].
- Personalize the “Participant” caption as needed (Driver, Co-Driver, Media, Guest, Partner, ...).
- In the back side, insert Partner logos (File > Insert) and hold down the shift key on your keyboard to resize the logos while preserving due proportions.
- Select all items (Select > All) and convert text into outlines (Text > Create Outlines).
- Export the file (File > Save a copy).
- Select file format (Adobe PDF) and click on “Save”.
- Under heading “Mark and bleed options for PDF,” make sure you have selected “Trim Marks” and “Use Document Bleed Settings”.
- Proceed by clicking on “Save PDF”.
- Make sure to provide your print service with the obtained PDF and die cutter “cut.pdf” to get proper round shaped edges and lanyard hole on your badges.
